AI drafts and a person decides
In IEPeasyhub the AI drafts, summarizes and prioritizes, and the teacher reviews rather than writing from a blank page. The AI never makes the decision. A draft present level of performance, goal, behavior assessment, behavior plan or transition plan is a starting point that a person reads, edits and approves. Every AI draft, every edit, every approval and every rejection is recorded, so it is always clear what the AI wrote and what a person decided.
Nothing is saved without review
Nothing the AI writes is saved to a student's record until a person reviews it. The review sits on the same screen as the form. The reviewer states what they are attesting to before starting, sees which parts the AI wrote, and approves item by item, with no "accept all". The approval records exactly what is on the screen. The database also refuses to finalize an IEP while any AI draft about one of its sections has no human decision, and the finalize page lets a reviewer mark a draft as not used.
Lists with legal consequences are built by rules
Some lists carry legal weight, such as eligibility categories, procedural deadlines and the notices a stage requires. IEPeasyhub never asks the AI to produce these. They are built by fixed rules from the student's record and the rule that applies, so the same record always gives the same list, and a list can be traced to the rule behind it. Read-only summaries that help a teacher prioritize are labelled advisory, so they are never mistaken for a decision.
What the AI is allowed to see
Before anything about a student reaches the AI, the student's name and identifying details are replaced with placeholders. Another student mentioned in a note becomes "a peer", staff and guardian names are replaced too, and contact details are removed. Real names are put back only after the answer comes back, and the key that links them exists only in memory, never stored. Photos and scans cannot be de-identified this way, so the AI reads them only for an organization that has been specifically authorized; otherwise they are attached, not read.
Pushback when a choice does not match the data
When a person's selection does not line up with what the record supports, such as a placement or an extended school year decision, IEPeasyhub says so rather than writing polished text that justifies whatever was picked. The check that raises the concern is worked out from the record by fixed rules, not by the AI, and it explains what the data shows. The person can still proceed, and the concern is on the record.
The record of what AI touched
For any section the AI touched, staff can see what was drafted, what the reviewer changed and when it was approved: the before and after, not a summary of it. Families can see the same record for their own child in the family portal, which shows which parts of the IEP the AI drafted and what a person changed before approving them.
The family question-and-answer helper
Family Answers is a question-and-answer helper in the IEPeasyhub family portal, and it is a recorded exception to the rule that a person reviews AI output before anyone relies on it, because a parent cannot be asked to review AI output about their own child. It is off by default, and a district has to turn it on. The AI may not state a fact; it may only phrase a fact it was handed from the child's own record, and every sentence must point to the fact it came from. A checker drops any sentence it cannot match to a source, any number that does not match its source, and anything that predicts, characterizes, compares or gives a legal verdict. Questions it should not answer are refused by fixed rules before the AI runs. Answers are not saved, so no new education record is created.
The assistant on this website
The Ask button on every page of this website is the second recorded exception to review, because the person reading its answers is an anonymous visitor rather than a reviewer. It answers questions about IEPeasyhub only from these Help pages. Every sentence it writes names the Help section it came from, and a checker drops any sentence that names no real section, states a number its section does not, or uses language that predicts, compares or gives a legal verdict. Its one unsourced line is a short clarifying question, which may carry no facts or numbers. A question that looks like it contains a student's details is refused before the AI runs. The conversation stays in the visitor's browser tab, and nothing typed is kept except a question the Help pages could not answer, held for 30 days with contact details removed.
Florida's rule on AI
In 2026 Florida's State Board of Education adopted a rule on artificial intelligence in schools: AI is never used as a decision maker without human review. That is how IEPeasyhub is built, and the database holds the principle rather than a setting that could be switched off. Student names are removed from text before it reaches the model, every draft waits for a person, and an IEP with an undecided AI draft cannot be finalized.
