The state system and IEPeasyhub, across the work of an ESE office.

IEPeasyhub is built on Florida’s rules rather than on a form. Every clock is dated on your district calendar the way the rule counts it; the missed-service notice dates itself; families get a portal and sign from home; data is logged as it happens and read as a caseload; the Matrix is checked against the IEP with the funding behind it; the survey record is pre-checked before the window; and AI drafts under a review gate the database enforces. Nine kinds of work, side by side.

  • Deadlines that date themselves

Every Florida clock on your calendar, with the reason for the date, and nobody can re-date one

  • Families: portal and e-signature

Progress, documents and messages in a portal; a typed attestation signed in the room or from home

  • AI under a review gate

Drafted from the record, de-identified first, reviewed field by field; an undecided draft blocks finalizing

  • The Matrix, the money, the district

The Matrix checked against the IEP with the FEFP view; missed services and readiness by school

IEP authoring

What the state system gives you: The IEP, written on the formThe IEP (IEPv3) with amendments and progress reports, the gifted EP, the services plan and the Section 504 plan, each written screen by screen by the teacher.[P]

What IEPeasyhub gives you: The IEP, drafted from the record and reviewedThe IEP from referral to dismissal: PLAAFPs, goals and reports drafted from the student’s record, reviewed field by field, a frozen copy once final. The gifted EP and 504 are not written here today.

Forms and notices

What the state system gives you: FLDOE’s own forms, in EnglishEvaluation and eligibility notices and consents, meeting notices, prior written notice, conference notes and the Matrix, on the state’s forms; draft meeting and evaluation notices in Spanish and Haitian Creole.[P]

What IEPeasyhub gives you: FLDOE’s wording where the law fixes it, and every other document citedThe consents (313181, 313182) and the Matrix (ESE 9291) in FLDOE’s words, with FLDOE’s translations in ten languages; notices, eligibility, LRE, ESY, FBA and BIP, transition and meeting documents printed from the record on your letterhead, each cited to its rule.

Deadlines

What the state system gives you: In-form warningsA warning on the form when a date has passed, such as “Reevaluation due date has passed”. The 60-day and 30-day counts are kept by the teacher.[P]

What IEPeasyhub gives you: Every Florida clock, dated when its event happensSixty calendar days on your district calendar with the rule’s exclusions, the 30-day IEP clock, transition, the rights transfer, each with “Why this date”. A deadline can be closed or reassigned, never re-dated.

Missed services

What the state system gives you: Not coveredNo ledger, notice or make-up tracking for a missed related service; the 2026 law’s 10-school-day notice is written and dated by hand.[P]

What IEPeasyhub gives you: The whole § 1003.5716(5) loopRecord the miss; the notice dates itself on your calendar; make-up minutes are tracked; a family asks for provider logs from the portal; the director sees minutes owed and notices due by school.

Families and signatures

What the state system gives you: Staff only; signatures on paperFour staff roles and no parent login. Signatures go on a printed page, with a “District Use Only” box for who collected it and when.[P]

What IEPeasyhub gives you: A family portal, and a signature in the room or from homeProgress goal by goal, every document, a message thread to the case manager; a typed attestation signed in person or in the portal, in the record that day.

Data and analytics

What the state system gives you: One code per goal; reports and exportsProgress is one code per goal at report time (Satisfactory, Mastered, and so on). Administrative reports with CSV and Excel export; no dashboard.[P]

What IEPeasyhub gives you: Sessions as they happen, read as a caseloadProbes and services captured in class or on the phone; pace and an aim line per goal from the same data; caseload health, deadlines and services by school and teacher; district analytics.

The Matrix and funding

What the state system gives you: The Matrix, scored, with its cost factorThe Matrix of Services completed on the form, with the cost factor it drives.[P]

What IEPeasyhub gives you: The same form, checked against the IEP, with the moneyESE 9291, locked once final; a consistency check between the ratings and the plan; the audit check by school and district; the FEFP view a director can defend.

State reporting

What the state system gives you: Data in from the SIS; CSV and Excel outStudent, course and staff files load nightly from the district; outbound is CSV and Excel. The survey itself is built in the SIS.[P]

What IEPeasyhub gives you: Readiness before the window opensThe Exceptional Student record written from the IEPs and pre-checked against 27 of FLDOE’s reject rules; the missing fields by school, weeks early. A pre-check, not the submission.

AI

What the state system gives you: NoneNo AI in the system. A teacher who uses a chat assistant beside it carries the de-identification and the review alone.[P]

What IEPeasyhub gives you: Drafts under a gate the database enforcesPLAAFPs, goals and reports drafted from the record, de-identified first, reviewed field by field; an IEP with an undecided draft cannot be finalized; families can read what AI touched.

  • Beside it, or as the record

IEPeasyhub runs either way, and the choice is the district’s: beside the state system, holding the work around the IEP it writes; or as the system of record for the IEP, end to end, printed and cited. A district can start one way and move to the other.

  • Why pay when one is free

Free to the district, paid for in teacher time. The Trial Impact Report measures each teacher’s own minutes with and without AI, priced at FLDOE’s district-average salary; nothing is estimated.

  • How a district starts

A teacher starts in minutes on sample students, without procurement. A director adds a school or the district; there is no implementation project.

Sources. What the state system gives you is taken from FLDOE’s own user guides for it (2016–2026), § 1003.576, F.S., and the 2008 Commissioner’s memo, checked Oct. 4, 2026. IEPeasyhub as shipped Oct. 9, 2026. The gifted EP, Section 504 and an SIS sync are not built in IEPeasyhub today.
