Student privacy questions
These are the student-privacy questions a district privacy officer or principal tends to ask about IEPeasyhub first.
- Is there a FERPA certification? No federal body grants a FERPA or COPPA certification, so no vendor holds one. Holding student records is lawful when the district names IEPeasyhub in writing as a school official under its direct control, so IEPeasyhub describes its controls instead of showing a badge.
- Who can see a student's record? Only people in the student's own school or district organization, and within it the student's IEP team and its leaders. The database itself enforces that, not the screens.
- Does IEPeasyhub track users or show advertising? No. There are no third-party trackers, no session recording and no targeted advertising.
- Does IEPeasyhub hold what Florida's student-data law forbids? No. Political affiliation, voting history, religious affiliation and biometric information do not exist in the system, and an automatic check fails if one appears.
- Do students sign in? No. Only staff and invited parents have accounts.
- Can a family get the complete record? Yes. A parent can request it from the family portal, and a district can export a student's record in full or have it removed.
Security reviews and data agreements
These are the questions a district's security review or data-sharing review asks about IEPeasyhub.
- Does IEPeasyhub hold an outside security certification? Not today. Each protection is checked automatically, and an independent assessment is planned. If a district needs a specific attestation, IEPeasyhub will confirm the timing in writing.
- Is the data encrypted? Yes, in transit and at rest.
- Is there an audit trail? Yes. An append-only log records every draft, edit, approval and rejection, and it cannot be edited after the fact.
- Will IEPeasyhub sign our data privacy agreement? Yes. A signed agreement with the district comes before any real student record, and IEPeasyhub works from the national student data privacy agreement with the Florida exhibit.
- Can teachers enter real students during a free trial? No. Trial workspaces hold sample students only, and the system refuses a real student until the district authorizes IEPeasyhub.
- We have a security questionnaire. Send it through the contact page, and IEPeasyhub answers in writing.
AI questions: who decides and who checks
These are the questions about whether AI in IEPeasyhub decides anything, and who checks its work.
- Does AI decide anything about a student? No. AI drafts text for a person to review, and nothing in the product is a decision maker. Lists with legal weight, such as eligibility categories and deadlines, are built from the rules, never generated.
- Who checks what the AI writes? The case manager or team member, item by item, with an affirmative statement that they reviewed it and no "accept all". An IEP cannot be finalized while any AI draft on it is undecided.
- Can we see what the AI did afterwards? Yes. For any section AI touched, the record shows the draft, the reviewer's changes and the approval date, and families can see it too.
- What if the team picks something the data does not support? The system says so, using fixed rules.
- How does IEPeasyhub fit Florida's AI rule? The State Board rule says AI is never a decision maker without human review, and IEPeasyhub is built to that principle. The rule governs tools made available to students. IEPeasyhub is a staff tool, so it quotes the rule's principle and claims no compliance under it.
AI questions: what reaches the model
These are the questions about what leaves IEPeasyhub when AI drafts something.
- Is student data sent to the AI? Not the identifying parts. Before a request leaves IEPeasyhub, student names, staff and guardian names and contact details become placeholders, and another student mentioned in a note becomes "a peer". Real names are put back only after the answer returns, so the model reasons about the case, never the child's name.
- Which AI model does IEPeasyhub use? Claude, from Anthropic, under Anthropic's commercial terms. A data processing agreement and zero data retention with Anthropic are not in place yet, and both come before any real student record.
- What about photos and scanned documents? Images cannot have names removed, so reading them is off by default and needs a separate authorization from the district. Until then a photo or scan is attached to the record, not read.
- Does any AI talk to students or parents? Never to students, who have no accounts. For parents there is one narrow helper that can only rephrase facts already in the child's record. It cannot state a new fact, predict or compare, and it is off unless a district turns it on. Staff can have the AI assistant read a family's messages or draft a reply, names replaced first; a person reviews and sends every reply.
Working beside the systems a district already uses
These are the questions about the systems a district already runs, and what IEPeasyhub does not connect to or cover yet.
- We use the state's free IEP system. Do we have to replace it? No. IEPeasyhub runs beside the state system or as the record, and the district chooses. Beside it, IEPeasyhub adds deadlines, data, families, AI drafting under review and the Matrix of Services. The state system has no way for other software to connect, so drafted text is copied across by hand.
- Does IEPeasyhub connect to our student information system? Not today, and there is no automatic roster link. An administrator can import a spreadsheet to update English-learner status and full-time-equivalent figures on existing students, and statewide test results can be imported from a file.
- Does IEPeasyhub cover Section 504 plans? Not today. IEPeasyhub covers the IEP, and the district's existing system keeps its other plans.
Getting started with a free trial
These are the questions a teacher or principal asks about trying IEPeasyhub.
- How does a teacher try it? Through Start free on the website, with no credit card and no procurement. The workspace opens with five practice students chosen to show the product, such as one partway through an evaluation deadline and one from a Spanish-speaking family.
- How long is the trial, and are there limits? The trial lasts 14 days. AI drafting is capped at 10 requests a day and 100 for the whole trial.
- What happens when the trial ends? The workspace becomes read-only and AI drafting stops. The teacher can take one free 7-day extension and print a Trial Impact Report of their own measured time to take to an administrator.
- What training and support is there? Each new user gets a welcome checklist and a guided tour on first sign-in, and districts get a walkthrough with their own compliance calendar.
The phone app
These are the questions teachers and leaders ask about IEPeasyhub on a phone.
- Is there an app? Yes, a staff app that uses the same account and the same record as the web. It shows the day's brief, records progress, services and behavior as they happen, takes a parent's consent at the table, and emails a report from the meeting.
- Can I write an IEP on my phone? No, on purpose. Writing and AI drafting happen on the web, where every draft goes through review.
- Is the app in the app stores? Not yet, and it is not publicly listed today.
- Can families use the app? No. The app is for staff, and the family portal is on the web.
